Controlling APP

I work for an cleaning company which specialises in train cleaning. Every week we receive the working plans through PDF from the train operator company. Based on those plans our employees do the work. Se we know what type of cleaning each train needs also what time they arrive and in which platform. Every night then we have to have to keep track of the number of wagons cleaned, type of cleaning ( we are getting paid per wagon cleaned and also the type of cleaning), train number, hour and from which company it was as they is more than one. Plus there may be changes in the plan. In that case we make the changes by hand in the printed plan that we have. in the end we have to write invoices based on those data. Until now we buy that data from the train operator which costs us 3% of the revenue. And we are unable to check if all the wagons are inserted by them. There are more than 300 wagons per night in different locations so we are unable to track that unless we increase the number of employees manually inserting all that data. And my question is: Is there any possibility that we can insert the data from the PDF into a data base not manually because of the high volume of entries and make the PDF interactive that our employees can also mark changes which is pretty normal on this sector as trains change during the day due to various factors. This question is more suited for a Google query. If you put into a Google Search, "Insert PDF data into Database", you will find a slew of articles on how to do so. You can do some research depending on which DB is best suited for your business.

It may be worth asking them to provide the relevant information in a different format, e.g. a spreadsheet or a csv file (in addition to the pdf). Doing this would probably take very little effort on their side. Of course whether they'll be willing to do it is another question.

Simon Sauter that is being done one a month and costs 3% of the revenue but i have found descrepancies on some days and i dont have the control of it

Eduart Gjona I see. I assumed the data they want those 3% for was more than just a spreadsheet of the same data you get in the pdf. Demanding that much for so little is ridiculous. I understand why you're looking for another way to do it.

Simon Sauter they give you the month‘s data. Without those data we can‘t write invoces. Are exactly the same data as we get them in pdf for the week but they are being sent to us by end of the month in an excel document. But if i can extract from the weekly plans the cleaning types, train number, date and company then it would be perfect.
